# Set up your team and account

Your clients use your client pages. Your team works in **Studio**. This guide covers roles, language, branding, personal settings and integrations.

## Team and client access are different

| Role | What it is for |
|---|---|
| **Admin** | Configure the account, spaces, tools, access and billing; work with clients across spaces. |
| **Mentor** | Work on submissions in their assigned spaces and review applications and events available to the team. They do not administer the account. |
| **Client** | Use the content and sessions their access allows, through email and a one-time code. |

An admin and a mentor both use a team seat. Clients do not. See the [plan capacities](https://mentordrop.com/docs/pricing-and-limits.md).

## Invite a teammate

1. Open **Studio › Users › Team** as an administrator and choose **Add user**.
2. Enter their name and email, choose **Admin** or **Mentor**, and send the invitation.
3. They receive a link to set their password. They enter through the Studio login, not the client code form; if they were already a client signed in with their code, they need to sign in again.
4. For a mentor, open each relevant space, press **Edit space** and add them under **Mentors**. An invitation alone does not assign them to every space.

The team list marks invitations not yet accepted as **Pending**; their menu offers **Resend invitation**. You also manage roles there (**Make mentor**, **Make admin**). Removing a person from the team stops their team access and keeps their account as a client; it does not give them client access to spaces automatically.

The **Owner** is an admin nobody can remove from the team. Only they can hand ownership to another team member (**Make owner** in Users, or **Transfer ownership** in **Settings › Profile**), and they stay an admin.

## Your name, language, time zone and brand

In **Settings › General**, an administrator can update:

- **Display name** and **Contact email**, shown on your application pages and sign-in page (when empty, application pages show the owner's email).
- **Address**: your pages' address, at least 3 characters (lowercase letters, numbers and hyphens). When you change it, your current address takes visitors to the new one, so the links, QR codes and widgets you already shared keep working. Only one previous address is kept: if you had changed it before, links to the oldest one stop working. Update the **Automatic access** URLs in your external systems.
- **Language**: your account starts in the language you signed up in; switch between English and Spanish here. This controls interface text and the account's emails; it does not rewrite content you entered yourself.
- **Time zone**: check it before configuring recurring windows, events, access expiry or release dates. When you change it, Studio tells you which lives and scheduled sessions keep their clock time in the new zone and which keep their real time because they would already have started.
- **Logo** for your client pages and sign-in page.
- **Accent color** for buttons and links in embedded widgets. Hosted pages keep the MentorDrop palette with your logo; Studio keeps the MentorDrop identity.

Choosing an interface language is separate from the language of recordings and transcription. Do not expect a language switch to translate an uploaded video or rewrite an existing article.

The optional milestone-measurement setting is also here. Its description explains what disabling it changes; it is separate from your own Kit list and event statistics.

At the end of **Settings › General** are **Download a client's data** (everything you hold about that person, in one ZIP, from their email) and **Close account**, which only the owner can use: your clients and your team can no longer get in from that day, and after 30 days everything is erased; until then you can **Reopen**. To confirm, you type your account's address and your password.

## Personal profile and security

Each team member uses **Settings › Profile** for their name, email, photo and personal time zone. Their profile photo can appear where they answer or present a flow. Changing an email can require verification.

Use **Settings › Security** for your password and two-factor authentication. If you enable it, keep the recovery codes somewhere you can retrieve them without the phone. The login page provides password recovery.

Clients use **My account** for their profile and time zone. Buyers also find subscription or payment management there when available. Deleting an account is a separate action with a confirmation explaining its effects; removing access is not the same thing.

## Integrations

An administrator opens **Settings › Integrations**:

| Integration | What to configure |
|---|---|
| **Payments** | MentorDrop creates a Stripe account in your name to sell access through Offers. Selling requires a paid plan. |
| **Automatic access** | Generate a token and use the **Access URLs by space** from your own automation to grant or revoke client access. |
| **Email marketing** | Connect Kit and set your **Privacy policy URL** before enabling email capture on shared videos. An open space's event and an open space only need the privacy policy; with Kit, their registrations and the people who enter also go to your list. Optional: a **Confirmation form for returning subscribers**, so someone who unsubscribed confirms by email before rejoining your list. You also download the **Consent records** here. |

Disconnecting Kit or changing the connected list turns off shared videos that ask for email; recheck them before sharing again. Events keep taking registrations. Disconnecting Stripe stops new sales and removes MentorDrop's access to that Stripe account for good, but does not cancel payments already recurring in Stripe. The [Offers guide](https://mentordrop.com/docs/offers.md) explains the consequences.

## Check your setup as a client

The **Share** preview helps check appearance on desktop and mobile without submitting anything. For a complete test, use a separate client email and another browser: check access, library opening dates, a submission and its answer. Your admin permissions can otherwise hide an access problem.
