# Share videos and build libraries

Use **Studio › Library** to upload videos, write your content and organize it into libraries your clients see through their spaces. Each piece (a video with its text and materials, a text or a worksheet) can belong to several libraries: it is the same piece in all of them. A public link is a separate way to share it outside a space.

## Choose where the video belongs

| You want to… | Use |
|---|---|
| Offer a program, course or set of resources to your clients | A library attached to their space. |
| Release a stage of a program later | The library's opening rule in that space. |
| Share a free class or a recording with anyone | The video's **Share with a link** setting. |
| Publish a live event's recording | The event's **Recording** or **Recordings** section, and the same video in a library of the space to keep it with the rest of the content. See [Events](https://mentordrop.com/docs/events.md). |

Library management is available to administrators. Clients watch the libraries in the spaces they can access.

## 1. Upload videos or create a piece

1. Open **Library › Content**, press **Upload videos** and choose one or several files, or drag them in. Each file becomes a piece named after it, which you can change while it uploads. Each video can be up to **4 GB**. Keep the tab open until they finish.
2. **New piece** creates one without a video: give it a title and its page opens, where you write its text or add a video with **Add video**. While videos are uploading you stay on the list so the upload is not cut: the piece shows first in the list, and pressing it opens it in a new tab.
3. Wait until the video is ready. Uploading and preparing playback are separate steps; once preparation starts, you can leave the page.
4. On the piece's page, write its text and add any downloadable **Materials**, such as a worksheet or PDF. Each piece supports up to **10 files**, each up to **20 MB**. The uploader shows the accepted formats.

Its text and materials appear with the video in every library holding the piece. In **Taught by** you choose who on your team teaches it (**As its library** when you choose nobody); it shows on its shared link and is used for articles written from it. **Content** lists all your pieces, also those in no library, with their public link if they have one; the **With a public link** filter leaves only those. Files and covers use your plan's storage too. A video that failed processing can be uploaded again from its page.

## 2. Put videos into a library

Example: three videos and a worksheet grouped into a section. This is the real editor with fictional mentoring content.

Open **Library › Libraries › New library**, give it a name and save. The library opens on its **Content** tab: use **Add content** to place pieces you already have, **New piece** or **New worksheet** to create one here, or **Upload videos** to upload several at once. They upload in their file names' order (2 before 10), two at a time (one at a time during the trial), and join the end of the library. Keep the tab open until they finish. **Progress** shows how far each client got, and **Settings** holds the name, the description, who it is **Taught by**, the optional cover, transcription and **Questions on each piece**.

Use **New section** to group topics or modules. Drag pieces to reorder them or move them between sections; the arrow and move controls offer the same actions. Removing a section leaves its pieces in the library without a section.

**Remove from library** keeps the piece in Content. Deleting the library keeps its pieces too. **Deleting the piece from its page removes it from every library and stops its shared link.**

## 3. Give a space access

Open **Studio › Spaces › Your space**, **Libraries** tab, press **Choose libraries**, select the libraries and save. Put them in the order clients should see them. The same library can serve several spaces.

Press **Edit** on a library of the space to set its rules, which apply only in that space. **Opens**:

| Rule | What the client sees |
|---|---|
| **Always** | It is available as soon as they have access to the space. |
| **When you open it** | It stays closed until your team opens it on their client profile. |
| **On a date** | It opens on the selected date, using your account's time zone. |
| **Days after joining** | It opens after the selected number of days from the start of their current access to the space. |
| **When the previous one is finished** | It opens once the client finishes the library above it in the space. |

**Its sections open** (or **Its content opens**, without sections) sets the pace inside the library once it is open: **All at once**, **When the previous one is finished** or **One every N days** (1 to 365). With sections it opens section by section, each with all its pieces; without sections, piece by piece.

**Available to**: **All clients** with access to the space, or only **Purchases in these dates** (up to 20 periods, each **From (optional)** and **Until**, in your account's time zone). A purchase counts by when it was paid; a subscription by the day it was taken out, never by its renewals. Whoever bought inside the dates keeps it if you change them, and widening them also includes earlier purchases. If a change would close or take away something a client already has, Studio asks first whether to keep it for them. While an **On a date** opening is still to come, **Move dates** shifts the remaining ones by the same days.

The opening rule applies to the whole library. A manual opening on a client's profile can give that person access earlier. It does not replace the need for active space access. Renewal keeps the current access start; access that was revoked and later granted again starts a new period.

**Test release dates with a real test client account.** Team members and the visitor preview see libraries open, so those views do not reproduce a client's waiting period.

## Progress and continuing a video

Clients can resume videos where they left off and see how much they have finished: a video watched (or **Mark as watched**), a piece without a video with **Mark as read**, and a worksheet sent (or reviewed, if you choose so). Progress belongs to each space: what is finished in one is still to finish in another space offering the same piece. A piece read that later gets a video stays finished, and when you remove a video, whoever watched it has it read. Their space also offers a way to continue watching. Your team can review library progress on the client's profile.

Progress is a viewing aid, not a certificate or an assessment. It opens the next library or section only when you choose **When the previous one is finished**.

## Questions on videos

In **Settings › Questions on each piece** you decide whether clients can ask under each video of the library (pieces without a video take no questions):

| Option | What happens |
|---|---|
| **Turned off** | Nobody can ask. This is the default. |
| **Automatic answer only** | It is answered automatically from the content and your team's earlier answers; nothing reaches the team. |
| **Automatic answer and, if that is not enough, the team** | It is answered automatically first. If that is not enough, the client presses **Send the question to the mentors**; when nothing is found (or the automatic answer fails), the question is sent on its own. The team gets it in **Questions** with the rest. |

With the team, you can limit what each person sends (**At most**, per period, and **Open questions at once**, counted across every space with this library) and set the **Quick follow-up window** and **Later follow-ups**. The client presses **Ask about this**, can mark the video's minute, and sees **Your questions** and **Questions already answered here**.

## Transcripts and searching

In the library's **Settings**, choose **Transcribe this library**. Review the videos, minutes and estimated credits before confirming. One minute of transcription uses one credit. Videos added later are transcribed automatically while this is enabled.

Clients with access can read transcripts. A transcript time takes them to that part of the video. The library's search finds each piece by its title and text, and transcribed videos also by what is said in them; a video still being transcribed cannot contribute its speech yet.

Stopping transcription keeps transcripts already made and stops automatic transcription of new videos. Watching and storing videos use no credits. If processing waits, check [Billing](https://mentordrop.com/docs/pricing-and-limits.md).

## Share a video outside a space

Open the piece, go to **Share** and turn on **Share with a link**. Its page shows everything: video, text and materials. You can copy a link or QR code, embed the video, set **Available until**, add a call-to-action button and optionally ask for name and email through Kit.

**Anyone with that link can watch according to its own settings, even if the video also belongs to a paid library.** A library's release date does not protect a separate public link. Email capture needs your Kit connection and privacy policy in **Settings › Integrations**.

The page's **Results** reports views, captured emails and sources. A view means the player was shown, not that the person finished the video. The [sharing guide](https://mentordrop.com/docs/embed-on-your-platform.md#a-videos-public-page) explains source links, email capture and expiry.

## If something is missing

Check the video's readiness, the library's assignment to the space, the client's access and the opening rule. If upload is refused, check storage in Billing. Existing videos keep playing when storage is full; deleting a video frees space once deletion completes.
